What if it rains?
All outdoor events are rain or shine. Unfortunately due to complexities of scheduling venues, street closures, bands, etc. we cannot offer refunds in the event of inclement weather.
Everyone is given a wristband to come and go. Return at any time once weather improves.
What can I bring? What should I leave at home?
For most shows it’s OK to bring inside:
Folding lawn chair
Small umbrella (under 14”)
Ice Chest with ice only
Non-professional camera
Sorry, you CAN’T bring inside:
Weapons (guns, knives, etc.)
Fireworks
Food/Beverage (including water)*
*Baby food/bottles OK with baby in attendance
Professional cameras or recording equipment
Bicycles
Check with us first before bringing:
Pets (including little bitty carried dogs)
Laserpointers (NOT OK for Batfest)
Anything else you’re not sure about
Can I bring my dog?
Each event is set up differently. Some art shows are dog friendly, most concerts are not. Please check with us first to be sure (512) 441-9015.
It’s not against the law to bring your leashed dog to a Festival but it’s not a good idea. Most festivals are held downtown on city streets and pavement gets too hot for little paws. There is nowhere they can go to the bathroom, and even the most socialized dogs tend to panic in such a large crowd of people.

Past Event T-Shirts are available in limited quantities! Get ‘em while you can because when they’re gone, they’re gone. Please email us at info@roadwayevents.com for more information and pricing.
Where can I buy a Poster?
We have a very limited number of past festival and concert posters available. We have a few backstage passes leftover too (they won’t get you in anywhere anymore but they make great conversation pieces!) Contact info@roadwayevents.com for inventory and pricing.
Artist Pre-Application Questions
How do I apply to be a vendor in the show?
You need to submit a completed and signed application for the show. Include your booth fee and and required photos. You can always download applications from our website. Contact us with any questions.
How do I know if I’ve been accepted to participate?
We will notify you by email if you’ve been accepted to participate in the show. Include a self addressed stamped envelope if you want a written confirmation. Typically we do not send out acceptance letters. Checks are only cashed upon acceptance. We send you your booth location map, set up instructions and a parking pass about 3 weeks before the show. You are always welcome to call or email the office with questions.
How do I submit my photos?
You can send photos by regular mail or electronically through email. If you want to send them via email, indicate that on your application and Roadway Staff will contact you with instructions. Unsolicited emailed photos will be deleted immediately. Regular photographs are preferred over slides. All hard copies of photos MUST BE LABELED with your name, contact information, and the price of what is in the photo. Photos not labeled are thrown away.
What is your application deadline?
Application deadlines are stated on each application but they are usually about 4 weeks before the event. Pending space availability, late applications are accepted with a late fee. Most shows sell out by the deadline so we always encourage you to apply early! Applications are juried and accepted on a first come first served basis.
What do I get with my booth space?
You get the space only. You are responsible for your own set-up equipment.
How do you define “Handmade” merchandise?
For all Roadway Art Shows and Festivals only items that are individually made and sold by the vendor are considered handmade. Items not individually made by the vendor, even if handmade by someone else, are not eligible to be sold at Roadway’s Art Shows and Festivals. Imported, resale or items handmade by someone other than the seller may qualify for inclusion in a Roadway Concert or designated areas of some Festivals. Each event application will have specific details on what type of art or merchandise is accepted for that show. Please feel free to contact us with any questions.
What kind of photos do I need to send?
For all Roadway shows, you need to send the following: 1. Photos representing everything you plan to sell in your booth space. 2. Photo(s) of your booth set-up and display. If you want your merchandise to be considered HANDMADE, include photos of the workspace where you make your items, plus photos of the tools, materials, machines and supplies you use. Although it’s not required, the jury committee also likes to see photos of the artist working. We prefer that you email photos but hard copies are accepted. All photos are retained for our files. Enclose a self-addressed stamped envelope if you want your photos returned.

What is a cart space?
Some Roadway events will have a cart space available to vendors. A cart space is just a space, it’s not a physical cart. It is usually a smaller area located within the festival. Cart spaces are typically reserved for artists without merchandise such as Henna and Temporary Tattoo vendors, Facepainters, etc.
Is electricity available?
Some Roadway events have basic electricity available. Sometimes there is an additional fee for electricity. Each event application will have details about electricity at that show. Artists always have the option to bring their own battery operated lighting. Sorry, generators and items with open flames are NOT allowed.
Do I need to send additional photos for every show?
No. Your photos are kept on file indefinitely and good for all Roadway shows. You only need to submit new photos if you change your media or just want to update your files.
Do I have to send my booth fee with my application?
Yes. Applications received without payment are discarded.
What forms of payment can I send?
Roadway accepts personal checks, business checks, money orders, Mastercard, Visa, and American Express. There is no additional fee for using credit cards.
What is a juried show?
A juried show means that every application is sent to a committee of selected artists and professionals who review your submitted photos and select the show participants based on that information. All Roadway shows are juried shows.

Food Vendor Pre-Application Questions
How can I be a food vendor at the Festival?
All professional food vendors are invited to apply.
Food vendor applications for some shows are available on the website. Complete the application and return it with the required information, photos, and booth fees. Checks are only cashed upon acceptance. We limit the number of vendors with similar menus to achieve the best possible variety of food choices.
If a food vendor application is not available, submit a letter via email or regular mail with the complete description of your set-up. Include the size, dimensions, and power requirements. Include your entire menu (everything you will sell) and include a picture of your food booth. Only a limited number of food vendors are accepted due to space restraints. We will contact you if we have an opening for your food booth.
What is a Health Department Permit and how do I get one?
No matter if you’re giving away free samples of food or drink or selling a full menu, you must have a Health Department Permit to operate in Austin and Travis County. For all shows, all food and beverage vendors must abide by the rules of the County Health Department. You need a separate permit for each separate show. As the promoter, Roadway will apply for your permit and provide you with the TCHD regulations that you must follow. There is an additional fee for the permit. Roadway will give you your permit on the day of show before the gates open to the public.
The TCHD may inspect your booth before and during each event. If they find any problems, you may be closed down until the problem is corrected. Serious health violations may result in permanent closure, citations and fines. Additionally, you may not be accepted to participate in future Roadway shows.
Roadway Productions has professional food concessionaires on staff who can answer any questions or concerns you may have about your Health Permit.

How can my band play at the Festival?
Submit a CD, bio and press kit to Roadway Productions, PO Box 152020, Austin, TX 78715-2020 or electronically to music@roadwayevents.com. Indicate what you’re interested in and let us know your monetary requirements.

Employment Qualifications
For ALL Roadway positions, you must meet the following requirements:
- Age 18+ (some positions require Age 21+)

- Be physically able to sit or stand unassisted for long periods of time
- Be physically able to work outdoors and subject to the elements (This is Texas weather – anything can happen and it sometimes does!)
